Hit rate in sourcing depends far less on market supply than on how clearly you brief. Specific briefs find specific pieces; vague briefs get vague results.
1. Six must-haves
1. Form
Not "blue-and-white" — say "blue-and-white lotus bowl" or "landscape brush pot". The more specific, the better the match.
- Vases: meiping, yuhuchun, club, Guanyin…
- Bowls: flared, straight, drum, bell…
- Plates: foliated, lobed, mallow…
- Misc: brush pot, censer, water pot, ink bed…
2. Size
Give a range, not a single figure. "Height 20–25cm, rim 8–10cm." Size drives price and use.
3. Period
- "Kangxi to Yongzheng"
- "Mid-Qing, no later than Jiaqing"
- "Republic to early PRC"
"Qing" alone is too broad.
4. Budget
Give a range, and whether it flexes. "S$500–800, up to S$1,000 for fine condition."
5. Flaws
- "Small chips OK, hairlines no"
- "Foot repair OK, overpainted glaze no"
- "No restoration preferred, minor flaws negotiable"
6. Purpose
- Personal: your taste matters, flaws tolerated more
- Gift: condition and packaging first, provenance a plus
- Investment: condition, provenance, rarity — all three required
2. Nice to have
- Reference image — worth ten paragraphs of text
- Provenance preference — local old collection, overseas return, auction
- Timing — any deadline
- Contact — two channels preferred
- Flexibility — "if it exceeds budget but is exceptionally right, let me know"
3. A good brief
4. A poor brief
You will get a pile of uncertain photos at wildly different prices — and waste time.
5. Communication tips
- Give the full brief first — one comprehensive first message
- State your decision cycle — same day, or a few days
- Do not promise a budget you cannot hold
- Keep records — for later comparison
- Reply even when passing — long-term cooperation depends on feedback
